The School Carnival is a valuable part of any successful student community.

These events can be a great opportunity for schools. It gives parents and teachers a chance to mingle, relax and "let down their hair." It gives students the opportunity to look forward to and be involved in something "fun" at school. At many organizations, the school carnivals a time honored tradition- which offers great things both in the realm of community building as well as in the realm of fundraising!

A well organized carnival is the key to a successful picnic. Use our easy to follow guide to help you make your carnival a success.

Things to Think about!

You need to decide what you want your carnival to be and how much you want to spend. Yup that means set a budget!

And as with any event, you also want to keep the needs and tastes of your attendees paramount. You will also want to allow yourself sufficient time to decide on the perfect date for your event.

You'll need to plan your food and beverages, and activities and entertainment.

You want to have time so you can notify your community well enough ahead of time so they can plan to be there! Don't forget that parents and families, have their own busy lives, and giving them enough notice to show up, may determine the ultimate success of your event!


When do you want to hold your Carnival?

There are pros and cons to weekday carnivals versus weekend carnivals. School Carnivals held on a weekday (monday thru thursday) can be a lot cheaper to book rides and entertainment, and our rides and entertainment option as are less likely to be booked out already. But having a school carnival during the week can mean limited attendance depending on your community. Many families and students have commitments to various other sports, athletic, church , or civic groups during the week- you do not want these commitments keeping them from attending the carnival!

Weekend Carnivals are definitely more popular. Typically we see a lot of carnivals on Friday nights- this is a time when most families put aside to spend on family related outings and such. Some schools choose to hold very large carnivals on Saturdays, which can be a great choice as A saturday offers a larger amount of time for you to be "open for business." This gives families who have commitments like soccer games opportunity to go to the carnival before or after the game.

Typically in the Pacific Northwest schools hold their picnics any where from April thru June, Some schools have found fall carnivals to be extremely profitable as well, as during this time there are alot less other events to be competing with. We are busiest during the spring months- so if you are planning your event at that time, be sure to book well in advance. We will work with you to get you everything that you need!


Where do you want to hold your carnival?

School Carnivals can take place inside a gym (for maximum weather protection) But you can have them outside, because this allows for much more space for activities and attractions. When schools are not limited by space we can offer our larger attractions, which are more popular. Plus these attractions will also bring in people from the neighborhood such as home school students, or children who attend another school in the area. Placing attractions outside where they can be seen maximizes the revenue potential and increases your schools visibility and recognition.

You'll want to have a Plan B in the case of rain. Or a b selection of activities that can take place indoors. A tent with walls or access to on-site building facilities is one option,


FOOD! FOOD! FOOD!

We have Cotton Candy, Sno cones, popcorn, and all that fun stuff! And we definitely recommend you have some  of them at your event! But you may want to consider more substantial food options than that. Providing meals can not only get your crowd to stick around longer, but is also lends you opportunity to raise more funds.


Types of Activities

The number of attractions and activities definitely varies according to the size of your group, how many you expect at the event, etc...



One common issue we see at school carnivals is that there are not enough attractions for the size of the group. This results in long lines and a slow moving, less exciting event. We understand that budget constraints are what can hold a school back from ordering more equipment... That is why we work hard to maintain competitive pricing.

Rest assured, if you order our equipment, properly advertise your carnival, and get enough people there- your equipment will be well worth the investment!


What kinds of activities do we need?

Events and activity needs vary according to the age groups you have. Our staff can help you to determine and ideal package for your event!

Most often, events usually have 1 Slide, One Obstacle Course, and a bounce house. Many events choose to offer one of our interactive activities as well. (Events with larger groups of older children will usually choose more interactive games/etc...)

There are three basic approaches to carnival prizes:

   *

     No prizes: Players play just for fun. Little kids can just get caught up in the fun of playing and don't really care about prizes. If your carnival is for a preschool, consider doing the games just for the fun of it. Maybe add a few games with instant prizes (like a fishing pond).
   *

     Instant prizes: Players get a prize at each game. This is easier to plan than redemption, but the prizes generally have to be very inexpensive. Some parents get tired of having these "junky" toys cluttering the house, but kids love them.



   *

     Redemption prizes: Players earn tickets that they collect and redeem for a larger prize. This is the hardest to plan, but you can really give away some great prizes. We have done this for two years now. It's a little nerve wracking to plan for just the right amount
Estimating quantities for redemption prizes

Estimating quantities for redemption prizes is a little tougher, but it's worth it! Again, I have an Excel spreadsheet I use, email me if you would like a copy. Here is an example of the basic steps I go through:

  1.

     Estimate how many players will play each game. If your carnival is 180 minutes long, and you have a player every 30 seconds, you could have 360 players per game. The play time may differ by game, some may take longer or shorter. Do a reality check here -- if you are only expecting 50 kids at your carnival, you will not have this many players!
  2.

     Estimate how many total players you will have for all your redemption games. Multiply the number of players times the number of redemption games. If you have 10 redemption games and each game has 360 players, you will have a total of 3600 total players at these games.
  3.

     Estimate the average number of tickets you will award to each player. This is a bit of a guess, but say if you give 1-3 tickets per play, your average will be around 2 per player.
  4.

     Estimate the total number of tickets that you will give out. Multiply the number of total players times the average tickets they will win. In our example, that is 3600 players times 2 tickets to get 7200 total tickets.
  5.

     Estimate how much money your redemption games will take in. Multiply the cost to play times the total number of players. For example, 25 cents per play times 3600 players means you will take in a maximum of $900. You now know that you want to spend less than $900 on the games and prizes.
  6.

     Estimate the total number of prizes to order. Because you'll never come out even with the number of tickets and the number of prizes (the last person in line won't want the last item you have), you have to over-order on the prizes. I plan to be able to redeem about 1.5 times the number of tickets I give out. In our example, that is 1.5 times 7200 times to equal 10,800.
  7.

     Estimate how many tickets total the average player will win. If an average player plays 10 of my redemption games and wins 2 tickets at each game, they would win 20 tickets total. Now this is the average player -- a young player might only win half that, and an aggressive "ticket centric" player might win three times that. But now I know that most of my players will want prizes for around 20 tickets.

Running a Prize Room

There are two main things to remember when setting up a prize redemption room, crowd control and staffing. Early in your carnival there will be just a few people drifting in to check out the prizes. As the carnival winds down, the crowd will descend on you.

For crowd control, set up ropes or flags to keep the mob in an orderly line. Designate a volunteer to patrol the line, helping the kids count their tickets and directing them to the next available prize room volunteer. We forgot about this our first year and had everyone pushing to get to the front. It was not pretty.

If you can, choose a room with separate entrance and exit doors. We have used the school library because we can send them out the exit door and directly outside without struggling back past the line. We have also used a corner of the gym where most of our games are. The advantage there was that the kids had prizes in mind because they saw the prize area throughout the carnival instead of just at the end.

Post signs along the line that show the available prizes and how many tickets they take. Again, have some volunteers work with the kids while they are still in line to count their tickets and help them see what prizes they could get.  Anything you can do to help the kids make up their mind before they reach the front of the line will make your life easier. If you run out of a prize, cross it off the signs so they can make another choice.

Plan to keep adding staff to the prize room as your carnival goes on. You may need to have all the game volunteers come into the prize room as soon as they shut down their game. It also helps to have a few of the same staff in the prize room through the whole carnival. They know where things are and what you are running out of. Patience is a big virtue in a prize room volunteer! Remember to thank them profusely after the last prize is given out -- which may be quite a bit later than your carnival's "closing" time.
